Disable JCKL Chromebooks

Overview

This procedure outlines how to disable Chromebooks checked out through JCKL when they are not returned. It includes steps for gathering device history, disabling the device in the Google Admin Console, and documenting the process.

Procedure

After a ticket has been created, view the new ticket and confirm the email identifying devices to be disabled has been added and check that the Tech - Add asset to ticket task has been completed.

To record device history that may be valuable, start a Word document titled, “Disable Chromebooks TD xxxxxx”

The tasks below must be performed by a user with Administrator rights to the Google Admin Console.

Find the device to disable in admin.google.com under Devices - Chrome - Devices - Checkout Chromebooks - Devices by searching for either asset tag or serial number.

Note - the default filter is set to only view devices with Status: Provisioned; adjust as necessary.

Click the Serial number for the device to view details.

Under General - Systems and activity, click “View recent users & activity” and copy and paste entries in the General tab under Users and then Activity into the Word document under a heading for that device.

Note - this only shows the last 28 days of active information, so it could be important if a devices goes missing and doesn’t connect for a while to show the last user and location.
Click Network and copy and paste the “Network status” information into the Word document.

Note - this shows the last IP and connection information if within the last 28 days, otherwise, only the last known IP is listed.
Click DISABLE in the left-hand menu window showing the device Serial Number.

In the window that pops up, select “Disable With Lock Screen to block any use of the device until it's enabled again" then click Disable in the lower right.

The other option - Disable With Factory Reset to block any use of the device and remove all data including user profiles, device policies, and enrollment data - would be for devices known/reported stolen containing user data.

The device status will change from “Provisioned” to “Disabled

Repeat for each device in the ticket.
Attach the Word document with the connection data to the TeamDynamix ticket.
Notify the requester that the devices have been disabled.
